How We Use Information

We use personal information to:

  • create and secure accounts;
  • authenticate users and verify email addresses;
  • store, organize, and display your products, media, and workflow records;
  • carry out or support directory submission workflows you request;
  • maintain billing, subscriptions, invoices, refunds, and fraud controls;
  • operate storage, hosting, logs, and backups;
  • analyze service usage and improve the product;
  • respond to support and legal requests; and
  • comply with tax, accounting, security, and other legal obligations.

Where applicable data protection law requires a legal basis, we generally process information on the following grounds:

  • Contract: to provide the services you request, manage your account, run submission workflows, and administer billing.
  • Legitimate interests: to secure the service, prevent abuse, improve performance, analyze product usage, and maintain internal records.
  • Consent: where required by law, for optional cookies or similar technologies and other processing you specifically allow.
  • Legal obligation: to keep required financial, tax, compliance, and law-enforcement records.

Cookies and Similar Technologies

SubmitI uses cookies and similar technologies for sign-in sessions, security, language preferences, attribution, and analytics. For example, we may use attribution cookies such as utm_source to understand where visits come from, and when enabled we may use Google Analytics, Microsoft Clarity, or similar tools to understand traffic sources, page performance, conversion paths, and site usage. Some cookies or similar technologies are set by third-party providers we enable. You can control cookies through your browser settings, but some features may stop working properly if you disable them.

SubmitI does not currently respond to "Do Not Track" browser signals because there is no uniform industry standard for responding to them.

How We Share Information

We may share personal information:

  • with infrastructure and service providers that help us run SubmitI, such as hosting, database, email, storage, analytics, authentication, and payment vendors; analytics vendors may include Google Analytics, Microsoft Clarity, or similar services we enable;
  • with third-party directory sites, listing sites, or other destinations when you instruct SubmitI to prepare, submit, or document a submission workflow;
  • with social login providers such as Google or GitHub when you choose those sign-in methods;
  • with payment providers such as Stripe, Creem, or PayPal when you start or manage a paid subscription;
  • with cloud storage providers such as Cloudflare R2 or S3-compatible storage when you upload files or when workflow evidence is stored;
  • when required by law, subpoena, court order, or to protect rights, safety, security, or prevent fraud; and
  • in connection with a merger, financing, asset sale, or similar transaction.

We do not sell personal information for money.

International Transfers

Our providers may process data in countries other than your own. When that happens, we rely on contractual protections, provider commitments, and other lawful transfer mechanisms that are appropriate for the circumstances.

Data Retention

We keep personal information for as long as reasonably necessary for the purposes described above, including to provide the service, maintain security, resolve disputes, enforce agreements, and comply with legal obligations.

  • Account data is generally kept while your account is active and for a reasonable period afterward.
  • Product and submission records may remain available until you remove them or your account is closed.
  • Deleted products may be archived or soft-deleted first, and copies may remain in backups, logs, or audit records for a limited period.
  • Billing and tax records may be retained for longer where required by law.
  • Uploaded files, screenshots, and evidence may remain until removed, overwritten, or no longer needed for the related workflow or compliance records.

Security

We use reasonable technical and organizational measures designed to protect personal information. These measures include access controls, encrypted transport where available, and encryption for stored workflow passwords. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights and Choices

Depending on where you live, you may have rights to access, correct, update, delete, restrict, object to, or port your personal information, and to withdraw consent where consent is the basis for processing. You can also update certain account and product data inside the product.

To exercise a privacy request, email support@submiti.com. We may need to verify your identity before completing a request.

Third-Party Services and Sites

SubmitI may link to or interact with third-party websites, directories, payment providers, and login providers. Their privacy practices are governed by their own notices and terms, not this Policy. If you ask SubmitI to submit information to a third-party site, that site may independently store, review, publish, or reuse the data you provide to it.

Children's Privacy

SubmitI is not directed to children, and you may not use the service if you are under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor provided data to us, contact us so we can investigate and delete it if appropriate.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the effective date above. If changes are material, we may provide additional notice through the service or billing/contact channels.
